Summary

Contracts often state that progress claims can be made after certain stages of a contract are completed. This is as pre-determined proportions of a contract can be claimed on stage completion

 

In more complex contracts, progress claims are based on work done at a particular time. This module allows you to calculate those claims

The claim calculation has 3 processes:

 

1. Allocate Contract

The contract value must be allocated over the project's Cost Centres. There are four different methods:

 

This can be done manually by filling in the contract column against each cost centre, or by the system by selecting:

In proportion to Budgets

The system calculates the contract value of each cost centre by spreading the total contract in proportion to the budgets for each cost centre

Cost Plus

The system allocates the invoice amounts on each cost centre, marked up by an input percentage, and creates a new contract amount

Cost Centre defaults

Each cost centre has a contract proportion attached to it, maintained in the cost centre module.These percentages are applied to the contract price

User Definable contract Percentages

Contract percentages can be manually entered for each cost centre. The percentages can be loaded from or saved to a disk file to be used on another job

 

Sometimes variations are claimed separately from the main contract, and in this case these would be claimed in the main claim posting screen

Amounts should be allocated to cost centres until the "Amount left to allocate" is zero

 

Toolbar specific to Allocate Contract

Clear        Clears Contract allocation on each cost centre

File        Saves the current contract percentages to a file

Go        Allocates contract amounts in accordance with the method selected in the drop down

save        Saves changes made (without creating a file)

 

2. Allocate existing Claims

It may be necessary to allocate previous claims to cost centres. This will not be necessary in all claims have been raised in this module

Each transaction shows the breakdown of claim allocation. Amounts can either be entered manually or automatically applied to selected cost centres

 

This process should be repeated until the "Total Claims to Allocate" value is ZERO

 

Toolbar specific to Allocate Claims

update        Applies remaining unallocated amounts on the current transaction against selected cost centres in the order they were selected up to the maximum for each cost centre

All_None        Selects or deselects all cost centres

 

 

3. Calculate New Claim

This tab calculates the current claim. It is important that the contract and claims are fully allocated before processing claims

 

The system uses the % complete against each cost centre multiplied by the Maximum Claim (Contract amount allocated to that Cost Centre) and subtracting previous claims. These amounts are then totalled to determine the amount that you are entitled to claim

 

Toolbar specific to Allocate Claims

Completions Menu:

       Set to Zero%                        All selected cost centres have their completion % set to Zero

       Set to 100%                        All selected cost centres have their completion % set to 100%

       Input %                                All selected cost centres have their completion % set to an input value

       Back Cal from Invoioces                The system compares invoices received with projected costs to establish % completions

       Back Cal from Ok to Pay %        Only Relevant with Job Control Users

Reports Menu:

               Claims                                Previews a formatted progress claim (or multiple claims if multiple jobs are selected)

               Combined Claims                Combines individual claims into one report

update        Creates a new Claim transaction, the claim is automatically allocated to cost centres

All_None        Selects or deselects all jobs or cost centres depending on what grid last had focus

search        Loads Job Search module

report        Previews a formatted progress claim

save        Saves changes to allocations and % complete

Undo        Undo. Reverses entries to last save or situation when module was loaded
