The following are recommended procedures for maintaining the databases used with Databuild

 

Testing Databases

 

The Testing of databases is not required on a regular basis but strongly recommended prior to converting to the ADO version.  The test is intended to diagnose and rectify inconsistencies in the system and job databases.

 

To test and correct the indexing of records, date formats etc, undertake the following steps:

 

Exit right out of Databuild and make sure all users are out of Databuild as well.

Load Databuild and go directly into the Setup screen

 

 

 

 

Take a note of the various database names in the Companies tab.  These are also the essential databases to be backed up regularly.
Now go into the Databases tab.

 

Select in turn the database to be Tested and Converted.

Once the selected database has been Opened, select (highlight) all of the database tables appearing on the right-hand side of the screen by using the blue & white Select All icon.  Then select the Test tab at the bottom left, click on All Tests and then click the Run Tests button at the bottom of the screen.

 

 

The system will test and correct each table and will give a Test Completed message with the details of the test displayed on the right of the screen.  Please note that depending on the size of the databases this may take quite a while to complete.

 

You must wait until the system displays that the test has completed.

 

 

Once all System and Job databases have been tested a Repair, Compact and Update should be performed as described in the following section.

 

Repair, Compact and Update Databases

 

The Repair, Compact and Update of the system and job databases is recommended immediately following the update of DBW32.  This procedure is performed to optimise the state and performance of the databases.

 

To repair, compact and update the databases undertake the following steps, (once again ensure that no user is currently running DBW32):

 

For each company click on update located to the right of the required database.
Continue until all databases have been updated for the current company.
A warning will appear reminding you that everyone should be off the network whilst updating the database.  Press YES if it is okay to continue.
The system will respond with a Database Updated message, then press okay.

New User Databases

 

It is recommended that new user databases are created for each user for the transition to the ADO version.  They can also be updated from time to time with the system and job databases.  User databases can tend to get outdated and inefficient over time.

 

Select the Users tab in Setup.
Click on the first user on the left of the screen and note the path and name of the user database which appears to the right of the screen.
Create a new User Database with the same path as the old database and a new file name. e.g. the old name was gob.mdb and create the new name gobado.mdb.  Once created the new database path and name will appear in the User Database field.

Alter any Allow Access selections accordingly for the user and the font for Multi Line Text if necessary.

 

Once you have completed these steps, users can then proceed to run Databuild for Windows DBW32 or DBW32ADO.

 

NOTE 1:  It is wise to "Reset Factory Settings" for "Table Layouts" and "Reports" through "Edit" on the main toolbar.  "Reset Factory Settings" should be performed particularly after loading a new Databuild CD, and from time to time to ensure the correct settings are in place.
