Summary Databuild can create an array of documentation, much of it automatically generated. To control this flow of information, Databuild has a Document handling module (Document Control)
Documentation can be either physical or electronic, and includes text, pictures, drawings. Databuild controls the collation, storage, creation and dissemination of these documents
Document Control Module
Documents can be viewed either on a Job or Contact basis by selecting the relevant tab. The documents relating to that job or contact (including suppliers and sub-contractors) are then displayed to the right.
The system looks in the folders determined by checking the folder specified in Custom Report Files for jobs and contacts respectively. If that folder does not yet exist, documents in the company document folder are displayed.
Tabs to the right display:
The documents come from a variety of sources:
Document Location In Setup>Defaults>Folders, a Folder for Documents can be assigned for the storage of documents. This Folder is typically a common one accessed by all authorised users. To be able to display documents, the system needs to know where they are.
e.g. "F:\Documents", "\\Ourserver\Documents"
A Company Document Folder is set in Setup/Companies. By default this is the same as the Document, but may be a sub folder of it
e.g. "F:\Documents\Beautiful Homes"
Sub Folders may be set for various parts of the system in Custom Report Files
e.g. "F:\Documents\Beautiful Homes\Jobs" e.g. "F:\Documents\Beautiful Homes\Contacts"
If you are using a file structure that includes a separate folder for each job (the default as set in Custom Report Files), then that folder will be created when you first attempt to view it from the document holding tab.
