Efficient creation and control of documentation is critical to the efficient running of any business.

 

Documentation can be either physical or electronic, and includes text, pictures, drawings and data files.

 

Databuild controls the collation, storage, creation and dissemination of these documents

 

 

How it works

 

FE SetupFolders

 

 

In Setup/Folders, a Folder is assigned for the storage of documents. Obviously, this Folder should be a common one accessible by all authorised users.

 

An option is given to create a new sub-Folder for each Job.

 

Documents are viewed in the Documents tab of the  Jobsscreen:

Documents for the current job are listed in the left panel, and displayed in the right panel. If the create folder for each job option is selected, all files in that directory are displayed. Otherwise, all file names containing the current job's number are shown.

Document Creation

 

Documents can be created in a number of ways:

 

By external programs such as Word
By saving Crystal reports created in Databuild to the folder
By Processing Quotations, Orders, Claims, Variations, Front End Tenders ,Specifications  and any custom reports using the RTF Layouts
By Processing Communiques in Job Control.
From a Default Folder. If the job folder is empty, any contents of a folder named "Default" (below the Documents folder) are automatically copied

 

Dissemination of documents.

 

The documents can be disseminated in three ways:

 

By The normal methods of printing and delivery
By Email
As attachments to Emailed orders
