Importing Contacts from Outlook

To import Contacts (or Suppliers) from Outlook (or similar external programs), first open Outlook, select Contacts, then

 

Select File menu then Import & Export

Select Comma Separated Values(Windows)

Select your Contacts folder

Select an Export File

Press Finish

 

Outlook will export to the selected file

 

Open this file in a word processor or text editor, then

 

Duplicate the first line of the file

Replace entries in this line with their Field Names.

These Field Names can be viewed and printed from Setup/Databases.

However, there are 2 important considerations:

Databuild holds a single name, whereas Outlook separates name fields into First Name, Middle Name and Last Name. If you do not have a name field, Databuild will build the name from First Name, Middle Name and Last Name fields
Databuild requires each record to be unique, whilst Outlook can tolerate duplicate entries. Unless a "Code" entry appears, Databuild will generate a unique code based on the first 4 characters of the Name (or Last name) filed plus a number to prevent duplicates.

 

Save the file (in text format)

 

Start Databuild

Select Contacts

Select File menu then Import CSV

Select the file, then press OK
