Summary

Rather than hold a single Notepad for each Job, contact or supplier as the case might be,accessable to all users, User Notes allow a series of dated notes attached to each user. The system can prevent users viewing and editing other users' notes and makes accidental deletions much more difficult.

Notes relevant to the current Job /Contact / Supplier are displayed based on the current user permissions as set in Setup / Users

User Notes

If this is not checked, General Notes are displayed instead of this screen

 

View Other users' Notes.

If this is not checked the current user cannot see any other user's notes unless the first word of the user's USER ID are identical.

In the case above, user EST AA can also see notes belonging to user EST CC because their USER IDs have the same first word ("EST")

 

Edit Other users' Notes

Unless checked, the user cannot edit (or delete) any other user's notes

 

Edit Note details

Allows the user to edit the author and date of an existing note

 

With correct permissions, notes can be entered directly into the text box to the right.

Double clicking this area loads a word processor for more detailed operations.

 

A sorting combo determines how the notes are sorted, and the notes table Filter Bar further restricts the notes displayed

 

Command buttons

 

new        Adds a new note with today's datestamp and the current user as author. New notes are also created if none exist by clicking into the text area, importing or setting a timestamp

 

All_None        Selects or deselects all notes - usually for deletion or reports

 

delete        Deletes the current or selected note(s)

 

Import        When invoking User notes for the first time, you may want to import your general notes.

       Selecting all  Job, contact or suppliers first will create new notes for each

 

File        Imports a text file into the note

 

Word        Combines all (or selected) notes into a single document and opens a word processor to view, edit or print that document

 

TimeSheet        Places a timestamp on the end of the current note (creating a new note if none exists) and sets a timer running.

       If pressed again whilst the same note is displayed, another timestamp and elapsed time will be added to the note.

 

 

B4 UserNoteTimestamp

 

       If pressed while on another note, the timer is reset to that note, and the first one is ignored

 

search        Searches the notes for the text string in the Search Text box. If the text is not found, the system will search the next note.

 

Edit        Edits the default topics. Each note optionally holds a topic - a short (up to 96 characters) description or classification of the note.

       You can use the Notes table filter bar to further restrict notes displayed
